Terms and Conditions for Participation in DEI4SME Digital Tool Testing

As a part of the DEI4SME (Erasmus+) project, we are developing a digital tool for the smaller firms (SMEs) to facilitate them in the diversity, equity, and inclusion (DEI) planning, implementation, and management. The tool is expected to enable SMEs to comply with the EU ESG reporting requirements in an easy and resource-efficient way and also help smaller firms go beyond the compliance. Thus, this tool will also help SMEs reflect on the potential of DEI to enable their business development and growth. Since the development of the tool is funded by the EU, the tool will be open access and available to be used free of charge for the companies. During the development phase the tool will be accessible to the project team and collaborating stakeholders who test and help develop the tool.

By registering to test the DEI4SME Digital Tool, you agree to the following terms and conditions:

  1. Data Collection and Use: The information you provide during registration (e.g., including your name, email address, phone number, company name, and country) will be collected and processed solely for purposes related to the development, testing, and improvement of the DEI4SME Digital Tool. Your data will be stored securely and will not be shared with third parties other than the IT developer who is coding the tool without your explicit consent. We will retain your personal data until the project is completed (year 2026 end) and project reports are finalized (year 2027), after which the personal data will be deleted. Please note that no other personal or confidential data should be entered in this or subsequent forms related to the testing of the digital tool unless specifically requested. This processing is conducted in compliance with the EU General Data Protection Regulation (GDPR) and relevant national data protection laws.
  2. Confidentiality: As a tester, you may have access to proprietary information about the DEI4SME Digital Tool. You agree to keep all such information confidential and not to disclose it to any third parties without prior written consent from the DEI4SME project team.
  3. Voluntary Participation: Your participation in testing the DEI4SME Digital Tool is entirely voluntary. You may withdraw from the testing process at any time without any consequences. Should you choose to withdraw, please notify the DEI4SME project team at contact@dei4sme.eu. After withdrawing data use, confidentiality, intellectual property, and liability obligations remain valid as indicated in the relevant points of these terms and conditions.
  4. Feedback and Intellectual Property: Any feedback, suggestions, or ideas you provide during the testing phase will be used to enhance the DEI4SME Digital Tool. By providing such feedback, you grant the DEI4SME project team a non-exclusive, royalty-free license to use, modify, and incorporate your feedback into the tool without any obligation to you. No rights are transferred to you under these terms and conditions.
  5. Limitation of Liability: The DEI4SME project team is not liable for any direct or indirect damages arising from your participation in the testing of the DEI4SME Digital Tool. The tool is provided “as is” without any warranties, express or implied. This limitation of liability will not apply to any statutory liability that you may have under EU or national legislation.
  6. Governing Law: These terms and conditions are governed by the laws of the European Union, as well as the national laws where you are primarily located. Any disputes arising from these terms shall be resolved in the competent courts of the respective countries.

By registering, you confirm that you have read, understood, and agreed to these terms and conditions.
